Teach Claude or ChatGPT your Notion preferences with a conventions file — video by Jeff Su▶ Watch on YouTube
Prompt
Study this Notion page [link to your ideal task] and this database [link], including its templates, properties and recent entries. Explain how you think I use it, ask me about anything unclear, then save the rules to my Notion Conventions file.

Visual breakdown

Any AI with a Notion connector can use Notion, but it needs a written rulebook of your preferences to do it your way. Jeff has the AI study an ideal page or database, saves the rules in a Notion Conventions file, and mounts that folder so tasks, notes and projects come out in the same structure every time.

The problem: AI tools connected to Notion create pages with inconsistent icons, headers and titles, so you end up fixing them.

How the AI learns your Notion habits

  1. Notion connectorClaude, ChatGPT or Gemini connected to your Notion workspace
  2. Ideal exampleLink to one ideal task page, or a whole database with its templates
  3. AI studies itReviews properties, templates and recent entries, explains how you use them, asks what is unclear
  4. You clarifyExplain things like what each note type or status option means
  5. Conventions fileRules saved in a markdown file inside a mounted folder (Notion Ops)
  6. Fresh chat, same folderAI reads the rulebook before creating tasks, notes or projects
  7. Consistent pagesSame icon, callout, sections, properties and links every time

What the rulebook captures

  1. Confirm the page or database before starting work
  2. Use the closest matching database template instead of an empty page
  3. Task names start with a verb, with a check icon and a pinned callout
  4. Meaning of each note type, such as research when there is a source

Do it yourself

Create a folder, let the AI write the rules, then reuse it in every chat.

  1. Create an empty folder (Jeff names it Notion Ops) and put a starter Notion Conventions markdown file in it
  2. In ChatGPT or Claude, connect Notion and mount the folder (in ChatGPT, as a project)
  3. Paste the prompt with a link to your ideal task page and let the AI save the task rules
  4. Repeat with a database link: it studies the templates and properties, you answer its questions
  5. Start fresh chats with the same folder mounted and ask for tasks, notes or projects
  6. Scale up: document linked workflows, such as a project with its tasks, deliverables and notes

Jeff's prompts and templates are linked in the video description.

Lessons from the video

  • A Notion connector alone gives inconsistent formatting: in his test one page had no icon or headers, another added an unneeded word to the title.
  • Link a whole database, not just one page, so the AI sees all templates.
  • Explain what each option means, such as note types or statuses, so it picks correctly.
  • The same method works across Claude, ChatGPT and Gemini.
  • Jeff still uses Notion AI for copy review and bulk database migration, but prefers a main assistant that also manages his other tools.
